Loans

The Exhibition Management Department (“Ausstellungsmanagement”) is the central point of contact for all incoming and outgoing loans from the Staatliche Kunstsammlungen Dresden.

Loan requests

Form and addressing

All loan requests must be submitted in writing to the head of the museum in question and/or to the Director General of the Staatliche Kunstsammlungen.

Required information

Please clearly state which work(s) you are requesting. If possible, please include the corresponding inventory number. We will not be able to carry out any kind of research work.

We also require information
about the exhibition:

  • Title
  • Dates
  • Concept of the exhibition
  • Name and full contact details of the contact person for any and all content-related and organisational questions 

about the institution:

  • Borrower’s address
  • Billing address, if different from the borrower’s address
  • Signatory of the loan agreement, with their title and position

about the exhibition rooms:

The borrower agrees to exercise the utmost care with regard to the items on loan, ensuring that they are protected from damage and that they are not exposed to any danger. This includes ensuring that the exhibition rooms comply with the standards set by major museums in terms of room climate, lighting and security, and that the work(s) is cared for by the borrower's staff.

Furthermore, we require precise information regarding:

  • Location and technical infrastructure of the exhibition space
  • Transport routes
  • Supervision during the set-up and running time of the exhibition
  • Measures for regulating temperature, relative humidity and lighting
  • Fire protection and security
  • Details of the available display cases, if applicable

We reserve the right to request a detailed Facility Report, including the floor plan and climate curves for the previous year.

If the exhibition is to be held at more than one venue, please inform the other organisers that we expect separate loan requests and that individual contracts will be signed for each venue.

Loan agreement

The loan agreement is drawn up by the Staatliche Kunstsammlungen Dresden. The loan period typically commences two weeks prior to the exhibition opening and concludes two weeks after the exhibition's conclusion. Permanent loan agreements are concluded for a maximum term of five years.

Insurance

The Staatliche Kunstsammlungen Dresden will insure the loans “from nail to nail” at the borrower’s expense.

Transport

It is the borrower's responsibility to engage the services of a reputable, professionally qualified, art forwarding company to pack and transport the loans. The forwarding agent will coordinate the packaging methods and transport route with the Staatliche Kunstsammlungen Dresden. Loans from the Staatliche Kunstsammlungen Dresden are accompanied by couriers who are responsible for handing over the loans and supervising the installation on site.

Costs

The borrower bears all costs associated with the loan. These costs primarily relate to insurance, packaging, transportation and courier services, but also encompass all measures taken in preparation for the loan. This will include costs such as the rehanging of the work by an external artwork handling team, transport within the Staatliche Kunstsammlungen Dresden, measures which need to be carried out to protect and preserve the work in question, framing, glazing and even restoration. These costs are calculated in advance of the loan and the Staatliche Kunstsammlungen Dresden will obtain the borrower’s consent.
